Cancellation by Client

International Travelers

  1. e)  30 or more days prior to departure date: 100% full refund of all payments made.

  2. f)  20-29 days prior to departure date: 50% refund of initial deposit only; remaining payments are non-refundable.

  3. g)  11-19 days prior to departure date: 10% refund of initial deposit only; remaining payments are non-refundable.

  4. h)  10 days or less prior to departure date: No refund applicable; all payments are forfeited.

Local Pakistani Travelers

  1. e)  15 or more days prior to departure date: 100% full refund of all payments made

  2. f)  7-14 days prior to departure date: 50% refund of initial deposit only; remaining payments are non-refundable

  3. g)  Less than 7 days prior to departure date: No refund applicable; all payments are forfeited

Once your booking is confirmed, the Company immediately begins securing your mountain adventure by investing in essential, time-sensitive arrangements. These include:

Domestic Flight Reservations:

Given the extremely limited flight availability to the breathtaking Karakoram and Himalayas (Northern Areas) during peak season, we secure your seats as soon as your

deposit is received. These mountain routes sell out months in advance, making early booking absolutely crucial for your dream expedition.

Permit Applications:

The Company submits your permit applications immediately upon confirmation. Mountain permits involve government fees that vary seasonally and are completely non- refundable once processed.

Flexibility Through Timely Communication:

We understand that travel plans can evolve, and we’re here to help when possible. The key to maintaining flexibility is early communication:

  • Contact us promptly via email, phone, or WhatsApp if you need to adjust your travel dates

  • Early notification allows us to exclude you from permit applications and avoid purchasing your flight tickets

  • Timely requests help us avoid incurring non-recoverable costs on your behalf

    Cost Recovery Limitations:

    Once we’ve made financial commitments for your journey, recovery becomes challenging:

  • Domestic flights: Only partially refundable due to airline policies

  • Permit fees: Completely non-refundable as per government regulations

  • Processing costs: Administrative expenses are incurred immediately upon booking

    Making Changes Work for You:

    Your deposit serves multiple purposes, including securing those precious mountain flight seats that disappear quickly during our busy season. When you reach out to us within the specified timeframes mentioned in our terms, we can often accommodate changes before costs are incurred.

    Flight Cancellation

    At RILLA ADVENTURES, we are committed to ensuring a smooth and enjoyable travel experience to the stunning northern regions of Pakistan. However, due to the limited number of flights and unpredictable weather conditions in these areas, flight cancellations may occasionally occur. Below is our policy regarding such situations, designed to maintain transparency and fairness.

At RILLA ADVENTURES, we aim to provide clarity and flexibility regarding airfare changes and refunds. Please note that all modifications to airfare are subject to the latest terms and conditions of the respective airline. Each airline maintains its own refund and change policies, which may vary depending on the destination and ticket type.

Flight Cancellations Due to Weather:

Flights to the northern areas are subject to cancellation by airlines due to adverse weather conditions. As these circumstances are beyond Wazir Tours’ control, the company bears no liability for such cancellations.

Alternative Arrangements:

In the event of a flight cancellation, RILAA ADVENTURES will work closely with you to explore alternative travel options, subject to your consent:

  • Rescheduling Flights: If seats are available, the company will arrange another flight. Any additional costs incurred for the new flight will be payable by the client at the time of booking.

  • Luxury Coaster Arrangement: If no flights are available for the next 4–5 days (a common occurrence during peak season), the company can arrange a luxury coaster for travel, provided a minimum of 15 clients agree to this option. In such cases:

o RILAA ADVENTURES will apply for a refund of the original air tickets and use the refunded amount to book the luxury coaster.

o The company is responsible solely for providing the luxury coaster. All meals and other expenses during the journey will be the responsibility of the client.

Refund Transparency:

RILAA ADVENTURES is dedicated to maintaining transparency in all financial matters. After applying for a refund of the air tickets and booking a luxury coaster, any remaining funds (if any) will be equally distributed among the clients.

Cancellation by Rilla Adventures

If RILAA ADVENTURES cancels a trip before or on the departure date, all deposits paid by clients will be fully refunded within 15–20 working days. (only for local travellers)

Assistance with Alternative Arrangements

The Company values your travel plans and will provide dedicated assistance to help you join another tour group with the same pricing and services, subject to availability. Our team will work closely with you to ensure a seamless transition to an alternative trip, maintaining the quality and experience you expect from Wazir Tours.

Change(s) during the tour

We understand that travel experiences can inspire spontaneous discoveries and changes to your planned itinerary. At Wazir Tours, we’re committed to accommodating your evolving travel desires whenever operationally feasible.

On-Tour Modification Guidelines:

Modifications may include, but are not limited to:

  • Extension or reduction of tour duration

  • Addition or removal of destinations

  • Inclusion of new attractions or experiences

  • Accommodation upgrades or changes

  • Transportation modifications

    Financial Considerations:

    Any modifications to your confirmed itinerary will incur supplementary charges based on:

  • Current market rates for services

  • Seasonal pricing variations

  • Availability constraints

  • Operational adjustments required

Billing Process:

  • Detailed invoices for additional services will be prepared promptly

  • All extra charges will be transparently itemized

  • Payment terms will be clearly communicated at the time of modification

    Settlement Timeline: To ensure seamless continuation of your enhanced travel experience, we kindly request prompt settlement of additional charges. This allows us to maintain service quality and secure any new arrangements without delay.

Agreement Overview:

RILAA ADVENTURES welcomes the opportunity to serve as your authorized booking agent and travel service provider. These Terms and Conditions (this “Agreement”) establish the legal framework governing the provision of travel-related services and define both your rights as a customer and your obligations when utilizing our services.

Applicability:

These Terms and Conditions apply universally to:

  • All clients of RILAA ADVENTURES and its affiliated companies

  • All travel-related services offered through our organization

  • Any bookings, reservations, or transactions conducted through our website, office locations, or authorized representatives

  • All forms of communication and service delivery channels

    Legal Framework:

    By accessing our website, making inquiries, booking services, or engaging with RILAA ADVENTURES in any capacity, you acknowledge that you have read, understood, and agree to be legally bound by these Terms and Conditions in their entirety.

    This Agreement constitutes the complete understanding between RILAA ADVENTURES and the client regarding the provision of travel services, superseding any prior negotiations, representations, or agreements unless specifically incorporated herein.

    Effective Date:

    These Terms and Conditions are effective immediately upon access to our services and remain in force throughout your engagement with Rilla Adventures.

    Modification Rights:

    RILAA ADVENTURES reserves the right to modify these Terms and Conditions at any time. Continued use of our services following any modifications constitutes acceptance of the revised terms.

    1. Definitions

    a) “Company,” “we,” “us,” and “our” refer to RILLA ADVENTURES, a licensed tour operator and travel agency in Pakistan.

    1. b)  “Client,” “you,” and “your” refer to any individual, group, or entity accessing our website, utilizing our sales channels, making reservations through our services, or otherwise engaging with our travel offerings.

    2. c)  “Services” include all travel-related offerings, such as guided tours, Trekking, and mountaineering.

2. Scope of Services

RILAA ADVENTURES acts as a booking agent and organizer for travel services in Pakistan. We provide expert guidance, local knowledge, and logistical support for adventures across the country, including the regions of Gilgit-Baltistan, Karakoram, Hindu Kush, and Himalayas. Our services are subject to availability and may vary based on seasonal and operational factors.

3. Booking and Payment

  1. a)  All bookings are subject to confirmation upon receipt of full payment or a deposit as specified at the time of booking. (50% initial deposit for booking, and the remaining 50% of the fee shall be payable by the client on the commencement of the tour, prior to departure.)

  2. b)  Paymentsmustbemadeinaccordancewiththepaymentscheduleprovided.Late payments may result in the cancellation of your reservation.

  3. c)  All tour prices are quoted in Pakistani Rupees (PKR) for Pakistani nationals and United States Dollars (USD) for international travelers, and are subject to change due to government taxes, fuel surcharges, currency fluctuations, or other unforeseen circumstances beyond the company’s control.

4. Cancellations and Refunds (read with refund policy)

a) All cancellation requests must be submitted in writing via email, post, or other documented communication methods to Rilla Adventures. Verbal cancellation requests will not be accepted. The cancellation effective date shall be determined by the date of receipt of written notice to Rilla Adventures.

1) International Travelers

  1. a)  30 or more days prior to departure date: 100% full refund of all payments made

  2. b)  20-29 days prior to departure date: 50% refund of initial deposit only; remaining payments are non-refundable

  3. c)  11-19 days prior to departure date: 10% refund of initial deposit only; remaining payments are non-refundable.

  4. d)  10 days or less prior to departure date: No refund applicable; all payments are forfeited.

2) Local Pakistani Travelers

a)  15 or more days prior to departure date: 100% full refund of all payments made

b)  7-14 days prior to departure date: 50% refund of initial deposit only; remaining payments are non-refundable

c)  Less than 7 days prior to departure date: No refund applicable; all payments are forfeited

b) All expenses incurred by RILAA ADVENTURES subsequent to the client’s reservation, including but not limited to costs for air tickets, vehicle bookings (e.g., cars, coasters, or SUVs), and advance hotel reservations etc, shall be deducted from the 50% initial deposit, irrespective of the cancellation notice periods outlined above. This provision applies uniformly to both national and international travelers.

c) Non-Refundable Circumstances

No refunds will be issued under the following circumstances:

  • No-Show: Failure to appear at the designated departure point at the specified time

  • Early Departure: Voluntary termination of tour services before the scheduled completion date

  • Unused Services: Any tour components, accommodations, meals, or activities not utilized due to personal choice, illness, or other individual circumstances

  • Force Majeure Events: Cancellations due to circumstances beyond Wazir Tours’ reasonable control, including but not limited to natural disasters, government restrictions, political instability, or other unforeseeable events

    d) RefundTimeline:

    All approved refunds will be processed within 30-90 business days from the date of written cancellation notice receipt.

e) Refund Method:

Refunds will be issued via the same payment method used for the original transaction, unless alternative arrangements are specifically agreed upon in writing.

f) Administrative Fees:

RILAA ADVENTURES reserves the right to deduct administrative processing fees from refund amounts to cover transaction costs and administrative expenses.

5. Travel Requirements and Safety

a) You are responsible for obtaining necessary travel documents (e.g., visas, identity card) and ensuring compliance with health and safety regulations, including a pre- trip medical check-up.

b)  Trekking and mountaineering involve inherent risks. Participants must follow our safety guidelines, including appropriate clothing (e.g., no shorts above 3,000 meters), and emergency procedures.

c)  In case of severe illness, first aid will be provided, and arrangements will be made to transport you to a lower altitude and medical facility. Additional costs may apply.

6. Liability and Insurance

a)  RILAA ADVENTURES exercises reasonable care in organizing services but is not liable for loss, injury, delay, or damage caused by acts of nature, government actions, or third-party providers (e.g., hotels, transport).

b)  Travel insurance covering medical emergencies, trip cancellation, and personal liability is mandatory and must be arranged by you prior to departure.

c)  In the event of an emergency where a client is not covered by insurance and requires rescue by a government or Pakistan Army helicopter, the client shall be solely responsible for all costs associated with the emergency service. Our company bears no financial or legal responsibility in such circumstances.

d)  Thecompanyisnotresponsibleforprovidingtipsonbehalfofclients.Anydecision to offer a tip is solely at the client’s discretion and is independent of the company or the amount paid for the trip.

7. Dispute Resolution

a)  All disputes, claims, or controversies arising out of or relating to this Agreement shall be resolved exclusively through arbitration. The parties shall appoint a qualified arbitrator by mutual consent within seven (7) days from the date the dispute is formally raised in writing.

b)  Intheeventthatmutualconsentregardingarbitratorselectioncannotbeachieved within the prescribed timeframe, either party may approach the Civil Courts of Shigar, Gilgit-Baltistan, for the appointment of an arbitrator in accordance with applicable Pakistani arbitration laws.

c)  Should any party be aggrieved by the arbitral award, recourse shall be available exclusively through the Civil Courts of Shigar, Gilgit-Baltistan, for the purpose of setting aside or modifying such award in accordance with Pakistani law.

d)  AllarbitrationproceedingsshallbeconductedunderthelawsofPakistan,andthe decision of the arbitrator shall be final and binding upon both parties, subject to the legal recourse provisions specified above.

e) This dispute resolution clause applies equally to all clients of Rilla Adventures, including both Pakistani nationals and international travelers.

8. Force Majeure

We are not liable for delays or cancellations due to unforeseen events beyond our control, including natural disasters, political unrest, or pandemics etc.

9. Liability Disclaimer

a)  The Company shall not be held liable for any loss, injury, illness, death, or damage to person or property, whether caused by negligence, unforeseen circumstances, or any other cause, during the course of the tour.

b)  The client acknowledges that travel involves inherent risks, including but not limited to accidents, natural disasters, medical emergencies, or other unforeseen incidents. The Company is not responsible for any such incidents that may occur during the tour.

c)  Prior to the commencement of the tour, the client is required to sign a Liability Waiver and Release Agreement, which explicitly states that the Company, its employees, agents, or affiliates shall not be held responsible for any injury, death, or loss sustained during the tour. Failure to sign the agreement may result in the cancellation of the client’s booking without refund.

10. Acknowledgment of Risks

The client understands and accepts that human life is unpredictable, and unfortunate incidents may occur at any time. By participating in the tour, the client voluntarily assumes all risks associated with the activities involved, including but not limited to transportation, outdoor activities, and environmental conditions.

11. Environmental Responsibility

You agree to respect the natural environment by disposing of waste properly, avoiding damage to flora and fauna, and adhering to campsite guidelines.

12. Governing Law

This Agreement is governed by the laws of the Islamic Republic of Pakistan. Any legal action not resolved through arbitration shall be subject to the jurisdiction of the courts in Shigar (Gilgit Baltistan).

13. Amendments

The Company reserves the right to amend these Terms and Conditions. Updates will be posted on our website, and continued use of our services constitutes acceptance of the revised terms.
